Privacy policy
Last updated 15 October 2026
This policy explains what personal information Nayfi Business Ventures ("Nayfi", "we") collects through the customer delivery portal and the staff dashboard, why we collect it, and the choices you have. We process personal data in line with the Nigeria Data Protection Act 2023 (NDPA).
Who is responsible for your data
Nayfi is the data controller for information submitted through this website. You can reach us about anything in this policy using the contact details at the bottom of the page.
What we collect
When your company uses the portal we collect:
- Company and contact details: company name, contact person, email address, phone number, country and head office address.
- Delivery site details: site names and descriptions, addresses, meter type, and the name and capacity of each tank.
- Calibration images: the photos or scans of tank calibration charts you upload.
- Order details: product, quantity, expected delivery date, delivery contacts (names, phone numbers and emails), remarks and any documents you attach.
- Technical data: your IP address, used briefly to limit the number of submissions from one connection, and the cookies described in our cookie policy.
If you name other people as delivery contacts, please make sure they know you are sharing their details with us for this purpose.
Why we use it
- To review, price, schedule and deliver the fuel you request. This is necessary to take steps at your request before entering into, and to perform, a supply contract.
- To contact you and your delivery contacts about an order, including sending a copy of each request by email.
- To keep a customer file with your sites and order history so we can serve you faster next time. This is in our legitimate interest in running the business efficiently.
- To keep business and accounting records we are required to keep by law.
- To protect the portal against abuse and spam.
We do not sell your data, and we do not use it for advertising or automated decision-making.
Who can see it
Your information is visible only to authorised Nayfi staff through a password-protected dashboard. We share it with:
- service providers that host the website and deliver our email, who process it only on our instructions;
- drivers and logistics partners, limited to the site address and delivery contact needed to complete a delivery;
- authorities, where the law requires us to.
Some of these providers may store data outside Nigeria. Where that happens we rely on the safeguards permitted under the NDPA, such as contractual protections.
How long we keep it
We keep your customer file, delivery sites and order history for as long as you are a customer, and order records for up to six years after your last order for accounting and tax purposes. Calibration images are kept while the site is active. You can ask us to delete information we no longer need.
Your rights
Under the NDPA you can ask us to:
- give you a copy of the personal data we hold about you;
- correct data that is wrong or incomplete;
- delete your data, or restrict how we use it;
- send your data to you or another organisation in a portable format;
- stop using your data where we rely on our legitimate interests.
Email us to make a request. We will reply within the time the law allows. If you are unhappy with how we handle your data you can complain to the Nigeria Data Protection Commission (NDPC).
How we protect it
The portal is served over an encrypted connection. Calibration images and attachments are stored privately and can only be opened by signed-in Nayfi staff, and there is no public sign-up for the staff dashboard. If a breach affects your personal data, we will notify the Nigeria Data Protection Commission and the people affected as the law requires.
Changes to this policy
We will update this page if the way we handle personal data changes. The date at the top shows when it was last revised.
